I use it to run my agency, manage client projects, track my sales pipeline, and manage my team. It's the most versatile business organization tool I've ever used, and I've used a lot of them.


Here's what it is, how it works, and whether it's right for you.

What Is monday.com?


At its core, monday.com is a work operating system. Think of it as a spreadsheet that grew up, got a personality, and learned how to actually run a business.


It helps you organize any workflow. Any of them. Sales pipelines. Client projects. Content calendars. Manufacturing lines. Hiring processes. Team task management. If you have a process in your business that currently lives in your head, your inbox, or a chaotic group chat, monday.com can be built out to manage it properly.

How monday.com Is Organized


Understanding the structure makes everything else click. Think of it like a filing system with four levels.


Workspace: The top level. If you have multiple monday.com products (like Work Management and CRM), each gets its own workspace. Think of it as the main folder everything lives inside.


Board: Each workspace contains boards. A board is essentially its own spreadsheet with a single focus. The best boards have one clear outcome. Sales pipeline is one board. Video production projects are another. Don't mix outcomes on a single board.

Groups: Inside each board, you can organize items into groups. Think of groups as sections within the spreadsheet. An active client board might have groups for each project phase: Pre-Production, In Production, In Review, Delivered.


Items and Subitems: Items are the individual rows on each board. Each item represents one task, one lead, one project, one deliverable. Each item can also have its own list of subitems, which is where things get powerful for complex workflows.


Each column on a board holds a specific type of information: status, due date, assigned person, priority, text notes, files. You build the columns that match what you actually need to track, and nothing more.

The Features That Actually Matter


My Work


My Work is a personal dashboard that automatically surfaces everything assigned to you across all your boards. It organizes tasks into four buckets: Past Due, Due Today,

Pick a template, customize it to match how your business actually works, and you're operational in minutes instead of hours. The AI features they're adding are making this even faster.


Automations

This is the part that makes monday.com genuinely exciting to me. The automation builder is the simplest I've seen in any software. It works on a single logic: when this happens, do this.


You select a trigger. You select an action. Done.


Example: when a new item is created, automatically set the due date to today. That's one automation. A more useful one: when a status changes to "Approved," notify the assigned team member and set the next task's due date to three days from now.


You can chain these automations together to build workflows that run on their own. A new lead comes in, a task gets created, a due date gets set, the right person gets notified, and a follow-up reminder triggers automatically if nothing happens in 48 hours. All without you touching it.


I've been building these automations for years and it still feels a little like magic every time.


Forms

Every board in monday.com can generate its own form. You design the questions, share the link, and when someone fills it out, a new item gets created on the board automatically. This is incredibly useful for client intake, lead capture, project requests, and class registrations. The form connects directly to your workflow so nothing gets lost between submission and action.

monday.com as a CRM

monday.com has a dedicated CRM product, and it is one of the best options available for small businesses. The workflow mirrors how sales actually work: Leads come in, get qualified, move to Contacts, open into Deals, and convert into Accounts. Each stage has its own board, and everything is connected.
